A Downloads folder usually fails quietly. It does not look dirty the way a sink does. It just starts swallowing PDFs, installers, screenshots, ticket confirmations, bank statements, ZIP files, and mystery files named final_final_v3 until finding anything becomes slower than downloading it again.
The fix is not a new app. Treat Downloads like a landing tray: files may arrive there, but they do not live there.

The 20-minute reset

1. Sort by size first, not by guilt

  1. Open Downloads.
  2. Switch to a detailed list view.
  3. Sort by file size so the biggest files rise to the top.
  4. Delete obvious dead weight first: duplicate videos, old ZIP files, installers you already ran, and exports you can recreate.

2. Make three temporary piles: keep, act, delete

  1. Create three folders inside Downloads: Keep, Act, and Delete review.
  2. Drag files into one of the three folders.
  3. Put anything you are unsure about into Delete review, not back into the main folder.
  4. When the main Downloads view is empty, move the real keepers to their permanent homes.

3. Rename only files you will actually use again

  3. Use a plain pattern: YYYY-MM-topic-source, such as 2026-07-rental-lease-signed.
  4. Leave one-time files alone if they are moving to the trash soon.
Why it works: renaming every file is a productivity trap. Renaming the searchable files makes future retrieval easier without spending ten minutes polishing names for files you will never open again.
Watch out: keep the file extension visible before renaming unfamiliar files. Windows can show file name extensions in File Explorer, which helps you avoid turning statement.pdf into a confusing or unusable name. 3

4. Move files to the folder where you would look first

  1. For each keeper, ask: "Where would I search for this first next month?"
  2. Move bank files to finance, receipts to tax or purchases, school files to the class folder, and trip files to the trip folder.
  3. If a file belongs to a project, move it to that project folder immediately.
  4. Pin or favorite the destination folder only if you use it often.

  2. Turn on "Ask where to save each file before downloading".

6. Use one action tag or prefix, not seven categories

  1. Pick one short action label: print, sign, upload, read, or file.
  2. On Mac, add a tag to files that need that action.
  3. On any system, add the action word at the front of the filename if tags are not part of your routine.
  4. Clear the tag or prefix as soon as the action is done.
Why it works: action labels beat topic labels for files that are still in motion. Mac tags can use color or text, and Finder can search, group, or sort items by tag. 5
Watch out: tags are not a substitute for moving files. If everything gets a tag and nothing leaves Downloads, you have only changed the color of the clutter.

7. End with a weekly five-file sweep

  1. Put a five-minute reminder on the same day each week.
  2. Open Downloads and sort by newest first.
  3. Handle only the five newest files: delete, move, rename, or tag.
  4. If one file takes more than a minute, move it to Act and continue.
